How to use Dokobit Add-in for Office 365?

Electronic signature (e-Signature) is an electronic version of your signature. Dokobit Add-in for Office 365 is easy and secure way to sign legally binding documents in the European Union as defined by the eIDAS regulation (Regulation (EU) № 910/2014). Once it is installed, to use Dokobit Add-in, you would need to create an account to get a licence and have either Mobile ID or Smart-ID for signing.

Mobile ID is an eID issued by your mobile service provider. Mobile service provider checks the identity of the customer and issues a special SIM card with a qualified certificate in it. To use Mobile ID you would need to have this type of SIM card and a mobile device. At the moment Dokobit supports these providers: Bite, Tele2 and Telia in Lithuania; Elisa, Tele2 and Telia in Estonia; Nova, Siminn and Vodafone in Iceland. Signing with Mobile ID creates a qualified electronic signature which has an equivalent legal effect of a handwritten signature.

Smart-ID is an eID developed to use conveniently on smart devices, while still keeping high level of security. In order to sign documents using Smart-ID, you would need to have a smart device and download the Smart-ID app (you can download Smart-ID app from here). You do not need to have a special SIM card; therefore, you can easily use Smart-ID not only on your phone, but tablets too. Important: to sign documents using Smart-ID, Smart-ID Basic account is not enough, you would need to have an “upper” level Smart-ID account (Smart-ID or Smart-ID Qualified Electronic Signature account), that you can get while registering your account using your National eID card or your Mobile ID for authentication (Mobile-ID option is not available in Latvia at the moment), you can also get appropriate Smart-ID account by visiting Swedbank or SEB bank branches.

To sign a document using Dokobit Add-in for Office 365

1. Open the document you want to sign and open Dokobit Add-in.

2. Click “Confirm identity”.

3. Select which eID you are going to use.

If you use Mobile ID

  • Enter your phone number (with a country code) and personal code and click “Log in”.
  • You will now see a control code displayed on the website, check that the same control code is displayed on your mobile phone screen, click “OK”, enter your sPIN1 code and click “OK”.

If you use Smart-ID

  • Select the country from the drop-down list where you registered your Smart-ID, enter your personal code and click “Log in”.
  • You will now see a control code displayed on the website, check that the same control code is displayed in Smart-ID app on your smart device screen, click “Confirm”, enter your PIN1 code.

4. Click "Create account" to get a licence.

5. Please fill all the required information and click "Add".

6. Once licence is created and your identity is confirmed, you can now sign documents. Go back to your document and choose signed document format from the drop-down list, choose the eID you would like to use for signing.

If you use Mobile ID

  • Make sure the entered phone number and personal code are correct and click “Sign document”.
  • You will now see a control code displayed on the website, check that the same control code is displayed on your mobile phone screen, click “OK”, enter your sPIN2 code and click “OK”.

If you use Smart-ID

  • Make sure the country chosen and entered personal code are correct and click “Sign document”.
  • You will now see a control code displayed on the website, check that the same control code is displayed in Smart-ID app on your smart device screen, click “Confirm”, enter your PIN2 code.

7. Congratulations, you have successfully signed the document!

8. You can now download signed document to your device.
