Batch actions

If you'd like to save time when completing repetitive tasks in the portal, we offer the possibility to perform the following batch actions.


How to delete multiple documents


Note: A document owner can delete their documents from the portal only if they haven't been signed by other participants. If the documents have already been signed by other participants, the document owner will only be able to delete their own copies of them.


1.0. Log in to the portal and go to the "Documents" section located at the very top of the page.


1.1. Mark the documents that you want to delete and press the “Delete” button located in the row above.


1.2. Here are the following scenarios that may occur:

a) If all of the selected documents have already been signed by other participants, you will only be able to delete your own copies of them.


b) If at least one of the selected documents is not signed by the other participants, you will be given a choice between deleting the documents for yourself only or for everyone involved. If you choose the latter option, it will only apply to the documents that haven't yet been signed by the other participants.


c) If at least one of the selected documents is already signed by another participant, you will be informed which one/s will still remain accessible to the participant even after deleting them.


1.3. Make the appropriate choice for your situation and confirm the action to delete the documents.

Note:

  • Document deletion is permanent and irreversible.
  • You can delete up to 50 documents at a time.


How to sign or seal multiple documents


Note: Signing with this functionality is only available with ID cards, HSM e-seals and USB tokens.


2.0. Select the required documents from your list and press the "Sign" or "Seal" buttons, which are both located in the row above.


2.1. Once the batch signing/sealing page loads, you will have to review all of the selected documents before being able to sign/seal them. You can either press on each document to expand them separately or press the "Expand all" button located in the row above.


2.2. Scroll down to the bottom of the page and sign or seal the documents by choosing the appropriate tab ("Sign with eID" or "Add e-seal").

Note: You can sign or seal up to 20 documents at a time.



How to download multiple documents


Note: Before downloading the documents, make sure that they contain the expected signatures (if necessary).


3.0. Select the required documents from your list and press the "Download" button located in the row above them. A ZIP file with all of the selected documents will be downloaded to your device.

Note: You can download up to 50 documents at a time.



How to send reminders for multiple documents


Note: Participants that have already signed a document cannot be sent reminders.


4.0. Select the required documents from your list and press the "Send reminders" button located in the row above them.

Note: You can send reminders for up to 50 documents at a time.


4.1. A pop-up window will appear showing the selected documents. It will contain either or both of the following messages:

  • "Documents where some or all participants will receive reminders" – this message indicates that only pending participants will receive reminders.
  • "Documents where no one will receive reminders" – this message indicates that all of the added participants have already signed, in which case a reminder won't be sent.


If all of the selected documents have already been signed, then the pop-up window will not offer the possibility to send out reminders, as seen in this example screenshot:


4.2. To send reminders to the participants, press "Send".
